What this letter does
A welcome letter from the president adds a personal touch to the practical welcome. New residents see that the board is approachable and learn how to get involved.
What to include
- A warm, short greeting in the president's own words.
- One or two community highlights.
- The few rules and dates that matter most.
- How to contact the board and the manager.
- An invitation to meetings or committees.
How it differs
The new resident welcome letter carries the practical details and is usually sent by the association. The management welcome letter is from the manager. The president's version is personal and can accompany either. The president's letter can mention the first annual meeting and the architectural request process, and the HOA dues letter carries the payment details.
Tips
Keep it to one page, and do not use it to enforce rules or announce problems. For introducing the board as a group, use the board introduction letter.
Common questions
Should the letter include the rules?
Give the key ones and point to the documents for the rest.
Who sends the welcome packet?
The board, the manager or a welcome committee. Choose one owner of the task.
