What this letter does
A recruitment letter invites owners to run for the board or join committees. It works best when it explains clearly what the job involves, so owners can say yes with realistic expectations.
What to include
- The number of open seats and the start date.
- What the board does and how often it meets.
- A fair estimate of the time.
- Useful skills, without making experience a requirement.
- How and by when to apply, and who to ask.
- Other ways to help for people who do not want a board seat.
Be honest about the work
Board service involves financial oversight, rule enforcement and conflict, and directors owe duties to the association. See fiduciary duty. Candidates should also check eligibility rules in the bylaws.
Related letters
Candidates can respond with a letter of intent and candidate statement. Another owner can send a nomination letter. Announce the result with the board introduction letter. The need often follows a resignation (see the HOA board resignation letter), and candidates are announced with the annual meeting letter.
Common questions
How early should recruitment start?
Several weeks before the nomination deadline, with a reminder close to it.
Are board members paid?
In most associations directors serve without pay. Check your documents.
